•Your first appointment: We like to get going quickly to help you address the problems
and goals you have. To help accomplish this, we appreciate you taking the time
to fill out the questionairres we send you before your first appointment. If you
haven't received the forms, let us know when you arrive. If you want to save
time, you can download the forms HERE.
Part of
your initial appointment will be discussing what you'd like to get from your work
with us. We also try to get you some ideas and tools you can begin using right away.
We also will go over what sort of coverage you have from your insurance, so you know
what to expect financially.
•Scheduling appointments: We often see people once a week, or twice a
week when that is needed. You are responsible for setting up times so you can get
in when you want and on a regular basis. We try to accommodate time preferences,
but please try to be flexible. Adults are asked to try to come during morning hours,
so school-age children have access to more after school appointments.
•Please arrive a few minutes before your appointment time. We are usually
scheduled on the hour for therapy sessions. Your appointment is 45-50 minutes long.
We try to start at the hour. When we don't, we will still see you for 45-50 minutes,
unless you have arrived 20 minutes or more after your appointment time.
Your promptness helps us to stay on a timely schedule. Delays can happen. If
you will be late, call to let us know and to see if that will be a problem.
•Please give as much notice as possible when you need to cancel. At the
very least we want 24 hours advance notice. Someone else may be able to take
an appointment time if we have a chance to offer it to them. We will charge for a failed
appointment ($125). A "failed" appointment occurs when you have a scheduled
appointment and you don't appear without calling to let us know 24 hours in advance.
If more than 3 scheduled appointments are failed, this is considered
a voluntary discharge. Future appointments will be canceled.
•If you or your child is ill, we advise that you cancel your appointment.
This is also advised if the illness has been in the last 24-48 hours. We will
certainly understand if this happens at the last minute. Please feel free to
call if you are not sure.
•Copayments are due at the time of service. This is part of your insurance
contract and part of our agreement with insurers with whom we contract.
•You may have a deductible on your insurance plan. That means that you will
have to pay us directly for services until your deductible amount is met. At that
point you insurance will pay according to your policy. We will submit bills to your
insurer from the beginning of your treatment. We will not be reimbursed by your
insurer until the deductible amount has been paid directly by you. You will get a
bill from us indicating the amount you owe. Please be aware of the deductible on
your particular policy so you are prepared to pay amounts that are not covered by
your policy.
•Specific questions about therapy should be addressed in the session,
if possible. If you have other related questions, a phone call might be a better
option. If it is a detailed situation and discussion, then a separate appointment
time should be scheduled.
•Please do not bring snacks and foods into the reception area. This gets
a bit messy. Also, we have some patients with food allergies and sensitivities.
Food debris can seriously affect them.
•Please be courteous with the use of cell phones. Either take calls in
the hallway or building lobby or return calls at a later, more convenient time.
